The meeting opened at Barlby High School, Barlby, Selby @ 18.30 hrs.

1.      Apologies
Apologies were received from Ian Culpan and Kelvin Mizen.

2.      Previous Minutes
There being no comments from attendees of last years AGM PB proposed that the minutes of the meeting of the 29th May 2011 were accepted as a true and accurate record of the meeting, signed by Paul Brant and Rebecca Brant, seconded by CH (Carried)

3.      Club Constitution
The SSKC Constitution is posted on the website under the “Welfare” section. There were no proposed changes to the constitution to consider.

4.      Election of Club Officials
The members of the management committee are appointed / elected with reference to S6 and S11 of the SSKC constitution.

Chairman: SSKC Chief Instructor – Paul Brant.

Secretary: SSKC Senior Instructor – Rebecca Brant.

Treasurer:  Paul Brant (Due for re-election in April 2014)

Child and Vulnerable Adult Protection Officer: Claire Hardy (Due for re-election in April 2014). PB suggested that it would be a good idea to have an additional person to replace Helen Milner. SD volunteered as she already has the necessary CRB check and child protection courses as a school governor. This was seconded by SH Carried)

Fundraising and Sponsorship Secretary: There were no volunteers to fill the post of Social Secretary, the post remains unfilled. It was decided that this role would be best served by a small group of volunteer meeting on a regular basis. Details to be agreed.

5.      Banking Arrangements and Club Accounts
 (Ref S8 of SSKC Constitution)
It was proposed by PB to maintain Nat West Selby branch as the clubs bankers, seconded by CH (Carried)

Authorised Signatures: Currently, Paul Brant and Bernard Schilke are authorised signatories to the clubs bank account.
It was proposed by PB that Bernard Schilke remain as an authorised signatory until further signatories are established. 
Further signatories will be sought from regular members and arrangements made to add them to the account.
A new mandate will be acquired and invited members will have to produce certified documents in line with the Banking Act before they are established.

In 20011/12 we spent £11,424.30 and had £10,478.38 of income.

SSKC Accounts
Opening balance at 6/4/11  =   £3,919.66
Closing balance at 5/4/12  =    £2,973.74
Hall hire balance  =  £220.50
Value of gi belts and mitts in stock (approx)  = £582.90
Debtors  = £0.00

SSKC Fund =  £38.50
PB Japan Fund = £914.60
Assisted Karate Fund = £1213.00

The current Nett worth of the club = £1,611.04

JKS Grading Courses – Currently Selby and Haxby hold a surplus of £1,422.68 ring fenced in HSKC’s bank account; this can be drawn on by either club or used jointly for funding courses.
It is proposed to host a Japanese instructor later in the year, details TBC.

SSKC Account Reconciliation - It is an aspiration that the nett worth of the “General Fund” (GF) be maintained at approx. £1,000.
This year we have a surplus of circa £600.00
The Assisted Karate fund is healthy and the following transfers are proposed.
50% of surplus transferred from GF to “Japan Fund” = £300.00
50% of surplus transferred from GF to “Members Fund” = £300.00

It was proposed by PB that the above transfers be made in the SSKC accounts, seconded by CH (Carried).

The club accounts were reviewed and the Chairman and the Secretary of the Club will sign the club accounts as a true and accurate account after they have been audited by Claire Hardy.
  
6.      Hall Hire & Training Fees
Barlby hall hire is £17.50/hr, if purchased in 10 week blocks in advance.
This is due to rise in 2012, details TBC. There is now a requirement for all new members to pay by standing order; existing members are also encouraged to pay by this means to cut down on banking.

It was suggested by FR that an etiquette hand out be produced for parents, it was thought that SSKC may also have to consider formalising a behaviour code.

            Member Development
Competitions: The club ran its annual competition on the 6th May 2012, and is open to include karateka from regional JKS Clubs.
Sponsors are invited for the U17 Female Cup and 2nd Kyu + Female adults Cup.

8.      Club Sponsorship / Fund Raising
Sponsorship:
We acknowledge the contribution of our sponsors in 2011/12:
April 2012 – Activ8 sponsored 2 cups for the SSKC Comp and provided engraving free of charge.

Fund Raising:
We acknowledge the contribution of our fundraisers in 2010/11:
April 2011 - £150 from NRM displays for the Japan Festival by PB and RB
May 2011 - £50.00 from Croda via MB
July 2011 - £100.00 – Circus Day by DL leading to reduction in Hall Hire charges.

 9.      Insurances and Legal requirements

Insurances

The JKS covers the club with member to member Insurance.

Instructor Indemnity Scheme

The club currently insures Paul and Rebecca Brant as club instructors.

 10.   Club Website

Members with access to write articles for the clubs blog are actively encouraged to do so. Members should also provide information to maintain their member pages.

11.   AOB – Any Other Business
PB asked any of the members present if they had any other business for the good and benefit of the club.
IC had asked if it could be raised if any one would be interested in a SSKC squad to enter competitions. PB said in most years members have the Seibukan, SSKC and JKS Nationals in Nottingham to enter. Members are also encouraged to try out for the JKS England Elite Squad and enter competitions with them to gain points for selection.

The Meeting closed at 19.35 hrs
